Microsoft Publisher - the Desktop Publishing Software


Microsoft Publisher is the desktop publishing software designed for people who are not design professionals but who need to produce professional looking publications.

The typical publisher user is someone who requires creating publications quickly without the support of art directors, designers, or production studio staff who are experienced in page layout and digital prepress techniques.

To make it easier to complete a publication project, Publisher provides an assortment of automated tools, templates, and wizards.

The Publisher task pane makes it convenient to access these templates, designs, color schemes, and wizards.

Other features that enhance productivity include the following:

  • You can open more than one publication at a time to cut and paste between publications
  • After saving and publishing a brochure or newsletter as a Web page, you can convert it to print layout again
  • You can import and format Microsoft Word documents into Publisher
  • Mail merge functions work just like Microsoft Word making it easier to use


So when should you use Microsoft Word or Microsoft Publisher when you are creating a business card or a brochure?

Both applications contain templates of the same type so whichever one you're more comfortable using should dictate which to use.

Here are some of the features which you may want to use Publisher instead of Word:

  • Has a wider variety of templates to choose from and gives you greater control over your page's design
  • Contains hundreds of samples of layouts ranging from business cards to takeout menus to newsletters
  • Offers greater design for page layouts because each object is in a frame which can be resized, moved or formatted
  • Supports full-color output - up to 12 spot colors in one publication; refers to adding a second color besides black
  • Four-color process printing combines cyan, magenta, yellow and black (CMYK) to make full-color images
  • Improved support for commercial printing
